Sustainable Equine Futures Pilot Program: Terms & Conditions

1. Purpose & Program Overview

1.1 These Terms and Conditions set out the basis for participation in Veterinarians for Climate Action Ltd’s (ABN 16 636 944 191) (collectively referred to as VfCA, us, we, or our)Sustainable Equine Futures (SEF) Pilot Program. The SEF Pilot Program provides eligible veterinary practices with access to the Climate Care Program – Equine Edition

1.2 We are the exclusive owner of the Climate Care Program - Equine Edition (referred to as CCP-EQ) and have the sole and exclusive right to exploit the Program throughout the world, including Australia and New Zealand. 

1.3 The Climate Care Program - Equine Edition is an online, self-directed professional development course which empowers equine veterinary teams to implement changes to improve environmental sustainability. Created by vets, vet nurses and educators for veterinary teams, participants will learn about key aspects of sustainability in veterinary practice, and practical steps to make improvements to conserve precious natural resources and reduce pollution with the goal of mitigating climate change.

2. Participation

2.1 Participation is open to veterinary practices in Australia that have a major equine client focus.

2.2 Each practice will nominate a Climate Champion (primary participant and contact).

2.3 Participation is for 12 months from the date of enrolment confirmation.

2.4 There is no fee for participation in the pilot. 

2.5 At the end of the 12 months, practices may choose to become a paying member of the SEF Program or opt out.

3. Program Support

3.1 Practices agree to support program development:

a) Using the Services in good faith for legitimate practice purposes

b) Completing periodic feedback surveys and assessments

c) Participating in interviews or discussions when requested

d) Providing user experience feedback and suggestions for improvement

4. Program Delivery

4.1 The CCP-EQ will be delivered via the Tribal Habits learning management system.

4.2 One login per practice is provided (additional logins available on request).

4.3 Participants should allow ~1 hour per week to complete the minimum requirements.

4.4 VfCA will hold regular check-ins (via email/phone every 4–6 weeks, and Zoom meetings every 3 months).

5. Privacy & Data Use

5.1 We collect your personal information and may disclose the information to any other persons/ entities who assist with providing this program. We may also use the information to assist us in improving our program and impact and to contact you in the future in regard to our other organisational events, products or services. 

5.2 We handle your personal information in accordance with our Privacy Policy (available here).

5.3 We will never rent or sell your personally identifiable information to others.

5.4 The information collected through the SEF Program and CCP-EQ registration process (such as your name, email address and contact number) is for the purposes of processing your enrolment, creating and maintaining participation records.

5.5 You consent to us sending you emails and/or SMS communications informing you about our work , the SEF Program and CCP-EQ. You can unsubscribe by contacting us on [email protected] or visiting www.vfca.org.au/unsubscribe at any time.

5.6 User feedback and data entered by Climate Champions into the Tribal Habits LMS will be de-identified when used for research and marketing purposes by us. These may include but are not limited to journal publications, social media, promotional materials and reports.

6. Case Studies, Photographs & Media Consent

6.1 As part of the SEF Pilot, we may develop case studies, and request or capture images to showcase sustainability actions and outcomes.

6.2 Consent: By signing this form, you grant us permission to use, reproduce, and communicate photographs, videos, audio recordings, case study material, and quotations from interviews with your clinic (“Release Material”).

6.3 Purpose: Release Material may be used free of charge for our educational resources, publications, social media, promotional activities, reports to funders, and industry engagement.

6.4 Third-Party Use: Release Material may also be used by media or other organisations commenting on our work.

6.5 Storage: Release Material will be stored securely by us and may be used in future for the above purposes.

6.6 Copyright: You acknowledge that you do not own copyright or rights of ownership over Release Material.

6.7 Opt-Out: Clinics may request not to be identified or may limit use of specific images/case material by notifying VfCA in writing.

6.8 Any identifiable case studies or media will only be published with the Climate Champion’s written consent 

7. Confidentiality, Copyright and Intellectual Property

7.1 The content of the SEF Program and CCP-EQ, including copyright and all other such intellectual property rights contained therein, remain the property of VfCA. You may not reproduce any part of the online Program Materials or associated support materials without the prior written consent of VfCA.

7.2 You further agree that you will not at any time during or after your subscription expires dispute or contest VfCA’s ownership of the Program, its trade marks, artworks or other material, or the intellectual property rights.

7.3 You also agree to maintain in confidence all confidential information and ensure that such information is kept confidential other than to professional advisers or unless required by law.

8. Obligations

8.1 We agree to:

  • Provide access to Tribal Habits during the pilot period
  • Deliver reasonable technical support and assistance during business hours
  • Maintain appropriate data security measures and privacy protections
  • Respond to support requests in a timely manner during business hours
  • Provide advance notice of any material changes to Terms or Services
  • Protect confidential practice information in accordance with these Terms

8.2 You agree to:

  • Engage in the Program in good faith 
  • Provide reasonable and constructive feedback when requested
  • Participate in periodic surveys, assessments, and interviews
  • Keep login credentials secure and not share with unauthorised third parties
  • Notify us of any significant issues, security concerns, or system problems
  • Comply with all applicable laws, regulations, and professional standards

9. Cancellation

9.1 You may cancel participation at any time by emailing [email protected] with “Cancel Participation” in the subject line.

9.2 Program access and enrolment will be deactivated within 3 business days.

9.3 We may terminate participation immediately for:

  • Material breach of these Terms and Conditions
  • Misuse of the Services or violation of acceptable use policies
  • Failure to maintain reasonable data security practices
  • Violation of applicable laws or professional regulations
  • Non-participation or failure to provide required feedback after reasonable notice

10. Disclaimer

10.1 Information provided through the CCP-EQ is of a general educational nature.

10.2 You remain responsible for determining which actions are appropriate to implement in their business.

10.3 We do not accept liability for outcomes of decisions made by practices.

11. Acceptance and agreement

By participating in the Pilot Program, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety.
